Batch Preparation Steps

This page provides Spring 2022 Batch Scheduling preparation guidelines and due dates. This document is a supplementary resource that includes CCLP centric instructions as well as links to sections in the document: Registrar’s correspondence: Spring 2022 scheduling - detailed instructions where appropriate.

Review CCLP Sched Dev Data for Spring 2022 / 3 Column Report

It's recommended that each college and department run the 3 Column Report and examine the courses listed to be offered in Spring 2022. To run the 3 Column Report:

  1. First make sure the academic year selected for the CCLP is 21-22,
  2. Next choose Reports from the menu, then select the 3 Column Report.
  3. In the report, review the list of Spring 2022 courses for accuracy and determine if there are listed courses that will not be offered in Spring 2022 or if there are courses not listed in the report that will be offered in Spring 2022.
  4. Adjust Sched Dev as needed so the list of courses represents the courses that are planned to be offered for Spring 2022.
    1. Any courses that will not be offered in Spring 2022 should be deleted from Sched Dev (first find the course, then delete the course by clicking Delete Course). See the FAQ for more information.
    2. Any courses that will be offered in Spring 2022 (that are not listed in the report) can be added in Sched Dev (see FAQ for more information).

To see a report that lists the scheduling details, run the Registrar Schedule Request Report and select Spring 2022 as the term. See the FAQ for more information. This is typically the report that you would run and send to the Divisional Curriculum Analyst.

The information that follows details steps to enter some specific data and provides guidelines for removing or adding Sched Dev records for Spring 2022.

Removing Courses that will not be Offered in Spring 2022

Any courses that will not be offered in Spring 2022 should be deleted from Sched Dev (first click Find Course to find the course in Sched Dev, then delete the course by clicking Delete Course). See the FAQ for more information.

Adding Courses that will be Offered in Spring 2022

Any courses that will be offered in Spring 2022 (that are not listed in the 3 Column Report) can be added in Sched Dev (see FAQ for more information).

Registrar Comments and Location Data Entry

Per instructions, please make sure you select one (and only one) of the top four options from the Registrar Comments dropdown list. Please do not use the comments marked “F21” for spring classes. Review the Schedule Comments Field and Update as Needed

It is recommended that you carefully review the existing information in the Schedule Comments field to make sure it corresponds to comments for Spring 2022 scheduling and update as needed. If a course is asynchronous, follow the guidelines mentioned in the Registrar's Correspondence section that discusses Schedule Comments for Online Asynchronous courses. Taught in Conjunction Courses

If a course is taught in conjunction, both the Schedule Comments and Registrar Comments fields should indicate the subject and course number for each course that it is taught in conjunction with (e.g. Taught in conjunction with SUBJ ###). See the FAQ for more information.

Cross-listed Courses (“Also offered as…”)

If a course is cross-listed, both the Schedule Comments and Registrar Comments fields should indicate the subject and course number for each course that it is cross-listed with (e.g. also offered as SUBJ ###). See the FAQ for more information. Text written into the Schedule Comments field will be published in the Class Search listing for the course.

Courses that have a Required Discussion Section

If a course requires that students enroll in the associated discussion section (or associated lab or associated studio), please select the appropriate option in the Schedule Comments, i.e. "Enroll in lecture and associated discussion section". This comment is critical for the Registrar's Office Classroom Scheduling team, who uses it to turn on section enforcement for students.

Secondary Sections - Activity Type

Courses with secondary sections should have an activity type indicated for each secondary section. Select the course’s approved secondary section type activity type from the drop-down list. Activity types should never be left as UNK. You can confirm the current secondary(ies) that are in AIS by looking at AIS Cat (in CCLP). See the FAQ for more info, or contact the Registrar’s Office Classroom Scheduling team if you have questions about which section types are appropriate for your course or if you need to make a change or an update to the secondary.
