Scheduling a New Class

The following are answers to Frequently Asked Questions about how to schedule a new class in Sched Dev. If you don't find the answer to your CCLP question, try putting a keyword or phrase into the Search CCLP field (in the upper right corner) and press Return, or you can submit an idea for a FAQ.


Q: How Can I Schedule a New Class?
A:
To schedule a new class:

  1. Click the Schedule a Course button (at the far right side)

  2. From the New Class Yr Term Choice dialog box, select the year and term. Click Continue

  3. From the course selection list, select the course (and revision) you want to schedule. A new Sched Dev record will be created with the course number, year, and term you selected. If there are existing primary sections for the course number and same term, then new new Sched Dev record will set the primary section number to the next number in sequence. For example, if there is already a section 01 for the course during that same term, the new Sched Dev record will assign a section number 02.


Q: Should I Schedule a Course that has not Yet Been Approved?
A:
Yes it is fine to create a Sched Dev record for a course that has not yet been approved. If you know the enrollment values you should include those as well on the Enrollment tab of the Sched Dev record.


Q: The Course I Want To Schedule Is Not In The Course Selection List
A:
There could be a couple of reasons why a course does not appear in the course selection list:

  • If your department is the Agency of Record and you do not see the course you want to schedule in the Course Selection List, select a different course from the list. Then afterwards, delete the Sched Dev record you just created. At that point, now you can go to Cat Dev to see if the course has been entered into the CCLP. If the catalog record is not in Cat Dev, then you may need to create a new Cat Dev record
  • Catalog records must have a status of Active, New, or Reactivated to appear in the Course Selection List. To check on a catalog record's status, go to Cat Dev and search for that course.
  • Check the Cat Dev record for the course you wish to schedule. If the highest revision has an End Year Term specified that is prior to the term you want to schedule, this may prevent the course from being listed in the dropdown list of schedulable courses. If a new revision was not made after an End Year Term was specified then the End Year Term value will serve as the highest term that may be scheduled. You can edit the End Year Term value and set both the Term and Year to blank (the blank value is the first row in the dropdown list). For details on how to do this contact Corinne.
  • If the course you are scheduling is cross-listed and your department is not the Agency of Record, you will not be able to select the course to schedule it. Only the Agency of Record will be able to select a cross-listed course when scheduling the new course.

Q: How To Create a New Section Number That Is Not The Next Number in Sequence
A:
To schedule a new primary section that is not the next number in sequence:

  1. Click the Schedule a Course button (at the far right side)

  2. From the New Class Yr Term Choice dialog box, select the year and term. Click Continue

  3. From the course selection list, select the course (and revision) you want to schedule. A new Sched Dev record will be created with the course number, year, and term you selected.

  4. Click the Section Number field. Highlight the existing new section number and enter the section number you want. For example, if the next section number is 05 and you want it to be 30, highlight 05 and type 30.

  5. Click on  a gray area of the screen. This will commit the value you entered.


Q: I clicked Schedule a Course, then decided I didn't need to schedule a course. I am getting an error. How do I proceed?
A:
Once you click Schedule a Course, the CCLP is waiting for you to select a catalog record to schedule. If you decide you don't want to schedule a course, select a catalog record from the list of courses anyway, then afterwards you can delete the new Sched Dev record.


Q: What Are the Four Digit Term Codes?
A:
The four digit term codes are as follows:

  • The right most digit values are 0 for Winter, 2 for Spring, 4 for Summer, and 8 for Fall
  • 2220 refers to 2022 Winter (the second digit in the year 2022, 0, is suppressed).
  • 2222 refers to 2022 Spring
  • 2214 refers to 2021 Summer
  • 2218 refers to 2021 Fall

Q: Why is the Activity Type value UNK? How can I change it?
A:
If on the Scheduling tabbed area the Activity Type of the primary section is UNK this can happen for the following reasons:

  • The corresponding Cat Dev record does not have a primary activity type specified. If the Cat Dev record's primary activity type is UNK, then when you create a Sched Dev record the primary activity type of the Sched Dev record will be UNK.
  • The corresponding Cat Dev record has a primary activity type value specified by the Primary checkbox is not checked. When you create a Sched Dev record the primary activityttype will be UNK.

To change the primary activity type in Sched Dev, you will first want to view the corresponding Cat Dev record to identify if there is a primary activity type specified. If there is, then you will need to type in uppercase that primary activity type in the Sched Dev record. The primary activity type value must be in uppercase (e.g. LEC, SEM, STU, LAB, IND, etc.)
