Entering Scheduling Enrollment Values

This section provides answers to Frequently Asked Questions (FAQs) about entering enrollment value(s) in Sched Dev records. This page is being created (some sections may not be available). Q: About Projected Enrollment
A: Projected Enrollment is entered during curriculum planning and scheduling and is used to plan for the projected enrollment in the specific term being scheduled. It is a mandatory field for scheduling in AIS as it populates the requested room size in the Batch Scheduling to AIS. For AIS purposes, this field will only come over in the initial batch process; it will not be updated by AIS as scheduling information comes back to the CCLP during the syncing process. This will give the departments the flexibility of revising their plan without it being overwritten by AIS.

The Projected Enrollment field should already have a value entered from the curriculum planning processes. The department may need to revise the value due to resource constraints or room assignment for a large lecture class. The Projected Enrollment value must be greater than 0.

The Projected Enrollment field is used in the Course Capacity Report to calculate the course capacity (the Course Capacity Report is used by the VPDUE's office). The values in the Projected Enrollment field are used in the course capacity calculation (any modification to the Projected Enrollment will affected the calculated course capacity).


Q: About AIS Initial Enrollment
A: AIS Initial Enrollment (AIS Init Enrl) is the second enrollment field required to schedule a class in AIS as it populates the AIS Enrollment Capacity field. It normally is the same value as Proj Enrl but can be manually revised for specific courses. This is not where departments “gate” courses as gating is performed directly in AIS only (see section on gating). For AIS purposes, this field will only come over in the initial batch process; it will not be updated by AIS as scheduling information comes back to the CCLP. If changes are made in AIS (e.g., gating, it will not update the CCLP). The AIS Initial Enrollment field must have a value of 0 or greater (it cannot be blank).

To adjust the AIS Enrollment Capacity once the batch is sent you will need to do this directly in AIS by going to the 'Maintain Schedule of Classes' screen in AIS: navigate to the to the Enrollment Control tab for the course you want to change. Q: How to Enter a Projected Enrollment Value in a Primary Section
A: To enter a projected enrollment value for a primary section, click on the Enrollment tabbed area of Sched Dev:

  • if you use the Cat Dev Enrl field as a placeholder for your projected enrollment for scheduling, click on the arrow and Proj Enrl and AIS Init Enrl will be populated with the same number. You can edit the AIS Init Enrl value if you would like it to be different from the Proj Enrl (it must have a value of 0 or greater).
  • If you do not use the Cat Dev field as a placeholder for your projected enrollment for scheduling or the value is blank, enter the projected enrollment for the class into the Proj Enrl field. AIS Init Enrl will be populated with the same number which you press Tab or click outside of the field. You can edit the AIS Init Enrl value if you would like it to be different from the Proj Enrl (it must have a value of 0 or greater).

Q: How to Enter an AIS Initial Enrollment Value in a Primary Section
A: To enter an AIS initial enrollment value for a primary section:

  1. The AIS Initial Enrollment value if often populated when you enter a Projected Enrollment value. It does not have to be the same value as the Projected Enrollment but it does have to be 0 or greater. See About the AIS Initial Enrolllment for more information.

Q: How to Enter a Projected Enrollment Value for a Secondary Section
A: Projected enrollment values can be entered into secondary sections in three different ways:

  • Directly on the row of the secondary section
  • From the Expand Meeting Times popup
  • From the Secondary Section popup

To enter a projected enrollment value on the row of a secondary section:

  1. From the Scheduling tabbed area, scroll to the secondary section you wish to enter.

  2. Type a value that is greater than 0 in the Proj Enrl field value (it aligns with the Proj Enrl heading).

To enter a projected enrollment value from the Expanded Meeting Times popup:
  1. From the Scheduling tabbed area, click Expand Meeting Times.

  2. Scroll to the secondary section you want to edit.

  3. Type a value that is greater than 0 in the Proj Enrl field value (it aligns with the Proj Enrl heading).

  4. Click Save and Close

To enter a projected enrollment value from the Secondary Section popup:

  1. From the Scheduling tabbed area, scroll to the secondary section you wish to edit.

  2. Click the blue arrow next to the section letter.

  3. From the Secondary Section popup, enter a value greater than 0 in the Proj Enrl field.


Q: How to Enter an AIS Initial Enrollment Value for a Secondary Section
A: AIS Initial Enrollment values can be entered into secondary sections in three different ways:

  • Directly on the row of the secondary section
  • From the Expand Meeting Times popup
  • From the Secondary Section popup

To enter an AIS Initial Enrollment value on the row of a secondary section:

  1. From the Scheduling tabbed area, scroll to the secondary section you wish to enter.

  2. Type a value that is 0 or greater in the AIS Init Enrl field value (it aligns with the Proj Enrl heading).

To enter an AIS Initial Enrollment value from the Expanded Meeting Times popup:

  1. From the Scheduling tabbed area, click Expand Meeting Times.

  2. Scroll to the secondary section you want to edit.

  3. Type a value that is 0 or greater in the AIS Init Enrl field value (it aligns with the Proj Enrl heading).

  4. Click Save and Close

To enter an AIS Initial Enrollment value from the Secondary Section popup:

  1. From the Scheduling tabbed area, scroll to the secondary section you wish to edit.

  2. Click the blue arrow next to the section letter.

  3. From the Secondary Section popup, enter a value 0 or greater in the AIS Init Enrl field.


Q: How to Enter Enrollment Value(s) in Crosslisted Courses
A: To enter enrollment values in crosslisted courses:

  1. Click on the Enrollment tabbed area.
  2. For each course offering, enter the Projected Enrollment and the AIS Initial Enrollment.
  3. The CCLP will total the Projected Enrollment and AIS Initial Enrollment values. The Total Projected Enrollment indicates the enrollment that will be needed for room scheduling.

Q: Why Can't I Enter Primary Section Enrollment Values in the Scheduling Tabbed Area?
A: On the Scheduling tabbed area, the primary section enrollment fields are read-only. To modify the projected enrollment value and/or AIS initial enrollment value, click on the Enrollment tabbed area and make your changes there.


Q: Why Can't I Modify the AIS Initial Value?
A: After the Batch has been sent, the AIS Initial Enrollment value becomes read-only and cannot be modified. If you need to make changes to the value you will need to make the change directly in AIS (not CCLP) by going to the 'Maintain Schedule of Classes' screen in AIS: navigate to the to the Enrollment Control tab for the course you want to change.
