This section provides answers to Frequently Asked Questions (FAQs) about the Lg Room Request tab functionality. Q: On the Scheduling tabbed area, what is the difference between Scheduling Comments and Registrar Comments?
A:
 Scheduling Comments go directly into the Schedule of Classes. The Registrar Comments are directed solely to the Office of the Registrar and are not included in the Schedule of Classes.


Q: What is the purpose of the Lg Room Request tab?
A:
The Lg Room Request tabbed area is where you can enter your room requests for classes that have a projected enrollment of 53 or greater.


Q: What is the difference between Room 1 and Room 2?
A:
For each Choice number you can enter two rooms. If you have a class that that has an enrollment of 53 or greater you can enter a room request, for Room 1. If the class has a second meeting time in addition to the first meeting time, you can enter a room request for Room 2. An example is a film class that has a lecture and a second meeting time for viewing a film.


Q: How to use the Lg Room Request tabbed area
A:
You can enter up to three choices for room request and time; it is recommended that you enter three choices. The Choice numbers are indicated by selecting the dropdown list for the row under the Choice column (valid values must be in sequential order). No two choice rows can have the same Choice number (they must be in sequential order). 

  • If you are not using a typical course time block, click a second time in the Days field and type in the day(s) being requested (use only MTWTHF with no spaces or punctuation if entering multiple days).
  • If needing to revise the start or end time, click a second time in the applicable field then enter using the convention (x)x:xx (space) AM/PM.
  • Select your room from the drop down menu.
  • Clicking the arrow next to the Features field brings up a pop-up window where you can choose the needed media equipment for the class.
  • The second line of each choice is NOT for entering other optional times, but is limited to those courses that have a second meeting time (e.g., courses with movie nights).
  • You can make specific notes regarding the scheduling of the class in the ‘Large Lecture Notes’. Clicking on , you may select some preset text that can be revised.
  • The report “Registrar Large Room Request” on the Reports page is the report to use for submission to your division or to the Registrar.

Q: How do I enter multiple choices for a large room?
A:
To enter another choice, select the dropdown list for the row under the Choice column (valid values must be in sequential order). No two choice rows can have the same Choice number (they must be in sequential order). It is recommended that you enter at least two choice options (in case you don't get your first choice).


Q: How many choices should I indicate (for a large room)?
A:
It is recommended that you enter three choice options (in case you don't get your first choice).


Q: Upon receiving the Registrar's Office Large Lecture Chart, how to prepare scheduling of Lg Room primaries for the Batch Scheduling
A:
Once large lecture rooms have been agreed upon by the Registrar at the campus-wide large lecture meeting, you must enter the scheduling information into either the ‘Lg Room Request’ tab or the ‘Scheduling’ tab on Sched Dev. The Registrar will post the Large Room assignment information via a web site link specific to the term and year of the large lecture chart. The following information provides steps on how to enter the pre-assigned large lecture room information to the Scheduling tabbed area (The information in the first bullet assumes you are using the Sched Dev Lg Room Request tab. If you don't use the Lg Room Request tabbed area you will need to enter the pre-assigned room information into the Scheduling tabbed area of Sched Dev manually).

  • Lg Room Request tab: if one of your choices in the request section is what was assigned, click the green checkmark at the end of the correct line. You will be prompted to select either Room 1 or Room 2. If you need to select both Room 1 and Room 2 do this in separate steps by clicking the green checkmark again and then select the other room. This populates the fields in the “Schedule rooms (after approval)” section at the bottom of the Lg Room Request tabbed section. Individual fields in the “Schedule rooms (after approval)” section may be revised. This also populates the Day, Start Time, End Time, and Room Information on the Scheduling tabbed section. Further changes can be made to the values on the Scheduling tabbed area fields. If none of your choices in the request secton are what was assigned, then you will need to manually enter the pre-assigned day, time, and room into either the "Schedule rooms (after approval) section at the bottom of the Lg Room Request tabbed area or you can enter the information on the Scheduling tabbed area. General assignment rooms that are large lecture rooms are listed under the GA column (click the box under GA and a list will appear).
  • Scheduling tab: Alternatively you can re-enter day, start, end, room information in the Scheduling tabbed area. General assignment room that are large lecture rooms are listed under the GA column (click the box under GA and a list will appear).

Add schedule comments (to be seen on the Schedule of Classes) and Registrar comments (to inform the Registrar of special needs for the class, including secondaries). There are some preset text values that can be revised by clicking on the respective down arrows (in the Schedule Comments and Registrar Comments areas).

Q: How do I delete a room choice on the Lg Room Request tabbed area?
A:
To delete a room choice on the Lg Room Request tabbed area, go to the room choice row, then click the red x at the far right side of that row. You will be prompted to confirm if you want to delete the related record. Click Delete. The row will be removed. If you have multiple room choices you may need to adjust the room choice number (they should be in sequence).
