The following is a list of answers to Frequently Asked Questions about scheduling (that are not covered in other main topic areas). If you don't find the answer to your CCLP question, try putting a keyword or phrase into the Search CCLP field (in the upper right corner) and press Return, or you can submit an idea for a FAQ.


Q: Is the CCLP used to schedule Summer Session classes?
A:
No. the CCLP is not used to schedule Summer Session classes. Please refrain from using the CCLP to enter classes in Sched Dev for Summer Session.


Q: What is the annual roll process?
A:
The annual roll process generates Sched Dev records for the next future scheduling year (e.g. 2021-2022) by using records from one year prior (e.g. 20-21) or two years prior (e.g. 19-20). The information that is rolled is the primary section (Subject or College, Course Number, and Section Number). The instructors and meeting times are not rolled, nor are the secondary sections, or the enrollment values for primary or secondary sections. Primary sections that are Cancelled are not rolled. The annual roll typically takes place on August 1st each year; the roll to 22-22 took place on July 31, 2020.

Each department/college has the opportunity to indicate their preference for the roll interval that will be applied for their department/college during the annual roll. 

  • A roll interval of 0 indicates no roll desired
  • A roll interval of 1 indicates roll from previous year (20-21) to create Sched Dev records for 21-22. It will use the AIS scheduling records for Fall 2020 to create the Fall 2021 Sched Dev records and will use the Sched Dev records for 2021 Winter and Spring terms to create the 2022 Winter and Spring Sched Dev records.
  • A roll interval of 2 indicates roll from two years ago (19-20) to create Sched Dev records for 21-22. It will use the AIS scheduling records from two years ago to create the 21-22 Sched Dev records.

Q: On the Enrollment tabbed area, the Previous Enrollment column does not have a value.
A:
The Previous Enrollment value will be filled in, with 3rd week enrollment data, if the course was offered during the previous year in the same term as the Sched Dev record. If the course was offered in the previous year during a different term, the Previous Enrollment field will not be filled in.


Q: How to delete a course (Sched Dev record)
A:
There are a few things to consider prior to deleting a Sched Dev record:

  • If the scheduling term of the Sched Dev record is in an Unlocked status (it has not yet been sent in the Batch or in a one-off), you can delete the Sched Dev record by clicking the Delete Course button. Sched Dev records that have not been sent in the Batch or a one-off previously should not be marked as Cancelled. If the Sched Dev record will not be offered, delete the Sched Dev record instead.
  • If the scheduling term of the Sched Dev record has a New/Delete One-offs Allowed status, then you can delete the Sched Dev record. You will first need to click Start One-Off, then click the Delete Course button.
  • If the scheduling term of the Sched Dev record has a Locked One-Offs Allowed status you will not be able to delete the Sched Dev record. Instead you can mark the Sched Dev record as Cancelled. To do this, see How to Cancel a Primary Section

Q: I have a Sched Dev record that will not be offered. Should I cancel or delete it?
A:
There are a few things to consider if you have a Sched Dev record that will not be offered:

  • If the scheduling term of the Sched Dev record is in an Unlocked status (it has not yet been sent in the Batch or in a one-off), you should delete the record if it will not be offered. It should not be marked as cancelled. See How to Delete a Sched Dev Reord.
  • If the scheduling term of the Sched Dev record is in an New/Delete One-offs Allowed status you should delete the record if it will not be offered. The CCLP will not enable you to mark the record as Cancelled. See How to Delete a Course.
  • If the scheduling term of the Sched Dev record has a Locked One-Offs Allowed status you will not be able to delete the Sched Dev record. Instead you can mark the Sched Dev record as Cancelled. To do this, see How to Cancel a Primary Section

Q: What does the Sent to AIS tabbed area show?
A:
In Sched Dev, the Sent to AIS tabbed area shows any transactions of activity that has sent information to AIS or synced the record with AIS. To view the specifics of any one transaction, click the blue arrow on the left side of the transaction (note the transaction history is two or more pages). Some examples of transaction that might be listed on the Sent to AIS tabbed area are: Batch, One-off, TA Batch, Sync.


Q: There is a gap in the primary section sequence (e.g. 01, 02, 04. Section 03 is missing.) How can I create a Sched Dev record with the section number that is missing?
A:
Primary section numbers are ordered in sequence (e.g. 01, 02, 03, etc.). If you create a new Sched Dev record for a course number and an existing Sched Dev record for that course number and term already exists, the CCLP will assign the new record with a primary section number that is one higher than the maximum section number for that course and term. For example, if for Fall 2017 the course has Sched Dev records that are numbered 01, 02, 04, and 05, if you create a new Sched Dev record for that same course and term the primary section will be 06.

If you want, you can change the new section number to a section number you want simply by editing it. For example, if you wanted to create a section 03 instead of 06 you could edit 06 and make it 03. Simply click on the section number field and edit the section number value (make sure that you have have a leading 0 for section numbers less than 10). Please note that you should only do this on Sched Dev records that are unlocked and have not been sent in the Batch.


Q: How can I find those department/subject Sched Dev records (for a specific quarter) that are crosslisted?
A:

  1. From the Sched Dev screen, click the Find Course button.
  2. From the Find Course screen, under the Offer # field heading there is a forward slash / followed by a field (that field indicates if a course is crosslisted). In the field following the slash, enter >1. This indicates that you are looking for crosslisted courses.
  3. From the Year Term Offered field dropdown list select the term you want.
  4. Press the Return key. The result set will have those Sched Dev records for the selected department and subject and the selected term that are crosslisted.
  5. To print a high-level report, you can click the Sched Dev List button (on the Sched Dev screen). Or you can click the Reports (menu option) and click Registrar Schedule Request report. Click Current to use the current result set.

Q: How can I perform a find of those department Sched Dev records (for a specific quarter) that are crosslisted for all the department's subjects?
A:

  1. From the CCLP Welcome Screen, click Read Only.
  2. From the Select Dept dropdown list select the desired department.
  3. From the Then Select Subject area click All (it's to the right of the dropdown list).
  4. Click on the Sched Dev menu option.
  5. From the Sched Dev screen, click the Find Course button.
  6. From the Find Course screen, under the Offer # field heading there is a forward slash / followed by a field (that field indicates if a course is crosslisted). In the field following the slash, enter >1. This indicates that you are looking for crosslisted courses.
  7. From the Year Term Offered field dropdown list select the term you want.
  8. Press the Return key. The result set will have those Sched Dev records for the selected department and the selected term that are crosslisted.
  9. To print a high-level report, you can click the Sched Dev List button (on the Sched Dev screen). Or you can click the Reports (menu option) and click Registrar Schedule Request report. Click Current to use the current result set.

Q: Is the Misc Course Notes field (on the Misc tabbed area) only viewable from the CCLP?
A:
Yes the Misc Course Notes field is only viewable from the CCLP. It is not sent to AIS.


Q:How do you indicate in a Sched Dev record that a course is an online course?
A:
To indicate in a Sched Dev record that a course is an online course:

  1. Click on the Scheduling tabbed area. 
  2. In the Dept Room box, select Online from the drop-down list. 
  3. In the Schedule Comments field, select the text This is an Online Course and type in additional information about the online class that you want to appear in the Class Search. Also include other relevant comments for students.
  4. In the Registrar Comments field, select the text This is an Online Course.

Please note that Academic Affairs is reviewing reports generated from Sched Dev data that list online courses so it is important to have data consistency in order to improve accuracy of the reports.


Q: The Cat Dev Record for the Sched Dev Record Has Been Revised. How Can the Sched Dev Record be Adjusted to Point to the Cat Dev Revision?
A:
