Editing and Viewing Secondary Sections

This section provides answers to Frequently Asked Questions (FAQs) about editing existing secondary sections in the Sched Dev area of the CCLP. If you don't find the answer to your CCLP question, try putting a keyword or phrase into the Search CCLP field (in the upper right corner) and press Return, or you can submit an idea for a FAQ.



Q: How to Cancel a Secondary Section

A: Secondary sections that have already been scheduled in AIS can be cancelled (if the term has yet to be scheduled in AIS, then you will need to delete the secondary section). To cancel a secondary section:

  1. On your Sched Dev record, click on the Scheduling tabbed area.

  2. Click Start One-off Changes. Otherwise go to step 3. (For information about one-offs see New/Delete One-offs and Modification One-offs.

  3. Go to the secondary section you wish to cancel (if you have a lot of secondary sections you can scroll to view the secondary section or you can also click Expand Meeting Time to view a lot of secondary sections at once).

  4. Click the blue arrow to the left of the secondary section you wish to edit (a secondary section popup will appear).

  5. To cancel the secondary section, click the Cancelled checkbox (at the top of the window).

  6. Click Continue.

  7. The secondary section will be marked as Cancelled.

  8. If you have additional secondary sections you wish to cancel repeat steps 3 through 7, otherwise proceed to step 9.

  9. Click Send One-off to AIS (on the Reason for One-off popup that follows indicate that you are cancelling the section(s)).


Q: How to Delete a Secondary Section

A: Secondary sections can be deleted prior to the quarterly Batch Scheduling and during the New/Delete One-offs cycle. (Secondary sections cannot be deleted during the Modification One-off cycle; however, you can mark the secondary section as Cancelled.) Secondary sections must be deleted in order, deleting the highest section letter first. See examples below.


Q: Prior to Batch Scheduling - How to Delete a Secondary Section (Last Letter in Sequence)

A: If the Batch Scheduling has not occurred you can delete the last section letter as follows:

  1. In Sched Dev, click the Scheduling tab

  2. Scroll to the last section letter (the highest one).

  3. Click the red x (on the right side of the section row). The section letter will be deleted


Q: Prior to Batch Scheduling - How to Delete a Secondary Section (That is not the Last Letter in Sequence)

A: If the Batch Scheduling has not occurred and you wish to delete a section letter that is not the last letter in sequence there are two possible solutions; instructions appear below but it is recommended you contact Corinne to discuss first. (It is a good idea to first take a screenshot or run a Scheduling report so you can track the initial state of the secondary section records):

  • Solution 1 - Letter Sequence Change: One solution is to change the letter sequence of the sections starting with the section letter you wish to delete. This is the easiest and most practical solution. For assistance with this solution, please contact Corinne.
  • Solution 2 - Data Swap Between Sections: Another solution is to swap the day, meeting time, and class personnel information for the highest section letter to the section letter you wish to delete (instructions appear below). For assistance with this solution, please contact Corinne.

Solution 1 - Letter Sequence Change: For example, if you want to delete section C and there are a total of six sections (up to F), you can alter section letter values as follows:

  1. In Sched Dev, click Scheduling tab of the Sched Dev record.
  2. Click on Expand Meeting Time (this link appears directly below the Schedule Comments field).
  3. Note the last section letter (the highest one in sequence).

  4. Go to the section letter you would like to delete, click on the section letter and change it to a section letter that is one higher than the highest section letter in sequence (e.g. if F is the highest section letter in sequence and you want to delete section C, change section letter C to section letter G).
  5. Go to the next section letter after the one you want to delete, click on the section letter and change it to the next section letter value (e.g. change D to E). Repeat this for each section letter after the section letter you wish to delete and change it to a section letter that is one higher than its current value (e.g. change E to F, etc.)
  6. Go to the highest section letter and delete that section letter by clicking the red x (at the right side of the section row).

Solution 2 - Data Swap Between Sections: For example, if you want to delete section C and there are a total of six sections (up to F), you can swap the day, meeting time, and class personnel information from section F with section C, then mark section F for delete:

  1. In Sched Dev, click Scheduling tab

  2. Click on Expand Meeting Time (this link appears directly below the Schedule Comments field).
  3. Scroll to the last section letter (the highest one).

  4. Note the day, meeting time and personnel.

  5. Go to the section you want to delete and edit the day, meeting time and personnel to the value that is in the last secondary section.

  6. Go to the last secondary section, Click the red x (on the right side of the section row). The section letter will be deleted


Q: To Delete a Secondary Section During the New/Delete One-off Cycle:

A: Follow these steps to delete a secondary section letter during New/Delete One-off cycle:

  1. In Sched Dev, click the Scheduling tabbed area, then click the Start One-off button.

  2. Note the Day and Time of the highest section letter (for example, section F). You will be deleting this section letter.

  3. Click the red x (on the right side of the section row). The section letter will be marked for delete.

  4. Click Send One-off to AIS.

  5. From the Send One-off to AIS dialog box, click Send

  6. In the Reason for One-off dialog box, indicate that you are deleting the last section but indicate that you actually want to delete a different section (for example section C) and substitute the day and meeting time for section F for section C. It is also a good idea to send follow up email to the Classroom Scheduling Team explaining that what you want to do is switch the last secondary section with an earlier secondary section.

  7. Click Send One-off


Q: Using Expand Meeting Times to View Multiple Secondary Sections

A: If you have a lot of secondary sections for a Sched Dev record it can be useful to view the secondary sections in an expanded list. To do this:

  1. Click Expand Meeting Times (directly below the Schedule Comments box)

  2. If you have a lot of secondary sections, you can use the scroll bar (at the far right of the Expanded View box) to view additional secondary sections.

  3. If you want to edit an individual secondary section you can click the blue arrow next to each section letter.

  4. To close the Expanded View box, click Save & Close.


Q: Troubleshooting Error: Can't Delete This Secondary Section

A: Secondary sections must be deleted in order, deleting the highest section letter first. If you try to delete a secondary section that is not the highest (last) letter in sequence, you will receive the error Can't Delete This Secondary Section. Q: Viewing a Report That Lists Secondary Sections

A: To view a report that lists both primary and secondary section information:

  1. Click Reports (from the menu bar)

  2. Click Registrar Schedule Request

  3. Click New Search

  4. From the dialog box, select the Term and select if you want a Draft or Official report.

  5. Click Scheduling Report

  6. You can print the report or save to a .PDF

  7. To close the report, click the blue Continue button (on the right side of the report) or you can click Print or Cancel.
