About Batch Scheduling

This document is under construction and is not yet completed.

The following is an overview of the Batch Scheduling process. For additional information see Frequently Asked Questions about the Batch process.

The Batch Scheduling process happens once per quarter and involves sending all schedule requests from Sched Dev (excluding independent studies classes) to AIS via an interface. The date of the Batch Scheduling is posted on the Welcome page of the CCLP. You can also view it on the Key Dates page.

The Batch Scheduling process involves:

  • a divisionally-controlled lockout, following the divisonal deadline for submission of schedule requests, of one or all divisional CCLP users from entering/revising any classes for the particular quarter that is about to be scheduled in the batch process. The date of the quarterly divisional review deadline and the date of quarterly Batch Scheduling are listed on the CCLP Welcome screen and on the Key Dates page.
  • a review of the schedule requests by divisional/school reviewers,
  • a lockout of users and divisonal/school reviewers from entering/revising any classes for the particular quarter being scheduled at the Registrar's deadline for schedule requests. The date of the Batch Scheduling is posted on the Welcome page and Key Dates page.

After Batch Scheduling:

  • After the Batch Scheduling has been sent, the next day CCLP users may make changes to the scheduling in the form of additions and deletions (New/Delete One-offs).
  • The user may enter TA assignments for that quarter without a need to perform a one-off.
  • Before the quarterly scheduling is posted on the web in the Schedule of Classes, the Registrar's Office will send out schedule proofs.
  • The user then reviews the schedule proofs, notes any corrections, and submits those corrections to the Registrar's Office by the specified date indicated on the Registrar Scheduling Calendar.
  • A few days after the schedule proofs are due to the Registrar's Office, the Schedule of Classes is posted.
  • The day after the Schedule of Classes is posted, the interface from AIS to CCLP sends the quarterly scheduling information to the CCLP and 'syncs' the Sched Dev records with AIS (overwriting any changes to meeting times and locations). Instructor information and enrollment values are not synced. This process is called the Resync.
  • When the AIS Scheduling is synced with the CCLP, the one-off cycle changes from New/Delete One-offs to Modification One-offs.
