Faculty Equivalencies
This section provides answers to Frequently Asked Questions (FAQs) about faculty equivalency records in the CCLP. If you don't find the answer to your CCLP question, try putting a keyword or phrase into the Search CCLP field (in the upper right corner) and press Return, or you can submit an idea for a FAQ.
Q: How to create a faculty equivalency
A: To create a faculty equivalency:
- From the Faculty area, click on the Equivalencies tabbed area.
- Click the New Equiv button. The New Faculty Equivalency popup will display.
- Select values from the Year, Term, Type, Sub Type, and Workload Equiv fields. Optionally you can add a value to the Comments field. By default the Workload is set to 1.
Note: Year equivalencies have to be entered as three separate equivalency records. See the FAQ for more information on how to create year equivalencies. - To save the equivalency, click the Save & Close button. The equivalency will be reflected in the Equivalencies tabbed section.
Q: How to delete a faculty equivalency
A: To delete a faculty equivalency:
- From the Equivalencies tabbed area, click the red x on the equivalency record you wish to delete.
- A dialog box will appear, asking you to confirm that you wish to delete the equivalency. Click Delete to delete the equivalency record.
Q: I would like to enter a year equivalency for a faculty member. How do I do that?
A: The CCLP no longer provides the option to enter a single record for a year equivalency. If you need to enter an equivalency that will span an entire year, enter three separate equivalency records (for Fall, Winter, and Spring). The equivalency workload value should be one-third of the entire year's workload. For example, for a year equivalency with an equivalency workload of 1, enter an equivalency workload of .3333 for the Fall, Winter, and Spring equivalency records. The equivalency workload field has a precision of four decimal places (.####).
Q: I previously entered some faculty equivalency records that were year based. What happened to them?
A: In March 2013, all year based equivalency records were revised and split into three separate term equivalency records (one for Fall, Winter, and Spring). This was done to improve the accuracy of workload reporting and equivlency cost calculation. The equivalency workload value for each year based equivalency was divided by one-third and applied to the Fall, Winter, and Spring equivalency records that were created to replace the year based equivalency reocrd. For example, a year based equivalency record with an equivalency workload of 1 was replaced with three equivalency records for Fall, Winter, and Spring each having a workload value of .3333. Year based equivalency records with an Equivalency Type equal to Applied Instruction were split into three equivalency records for Fall, Winter, and Spring; however, the original year based workload value was left intact and was replicated for the Fall, Winter, and Spring records.
To identify those equivalency records that were created as a result of the Year Term Split, we added a new field on the Equivalencies tabbed area. Direclty to the left of the Comments field is a small field that will have the value S if the record was created during the split of the year based equivalency record. To view those year based equivalency records that were created from the split of the year term equivalency record, click Find Faculty, click on the Equivalencies tabbed area, then in the field to the left of the Comments field, type S, and press Return.
