How to Renumber a Course

Quick Guide

The following is a quick guide. Detailed instructions appear below that describe in detail each numbered step. Please read the detailed instructions first to get the context for this quick guide.

  • Check AIS Cat and make sure there is not an existing active or suspended course with the number you want to renumber a course to.
  • Complete find in AIS Cat
  • Look for an active or suspended course with the same # (in AIS Cat the status would be Schedule or Suspended)
  • If Yes, you must either (a) cancel the course or (b) re-number that course number, or (c) find a different course number (repeat instructions #1 for the new course number)
  • If No - proceed to step 2

2. Go to Cat Dev

  • Enter End Yr/Term

3. Create new revision of current course

  • Set Eff Year/Term

4. Re-number

  • If x-listed (see instructions #4 below)

5. Print and Complete Course Revision

  • Obtain Chair Signature and submit form to Curriculum Analyst

6. Go to the Prev Revs/Sched Devs tabbed area (in Cat Dev).

  • Check to see if future scheduled courses need to have their revision updated.

Detailed Instructions for Renumbering a Course

1.  Before creating a revision, first perform a search in AIS Cat for the course number you wish to use to make sure that there is not an existing catalog record with that course number that is not cancelled.  Go to AIS Cat. Click the Find Course button. Enter the course number in the Course # field. Press Return. Look at the result set to see if there is a record for that course number that does not have a cancelled status. If there is an AIS Cat record for that course number that does not have a cancelled status and that course should be cancelled you should submit a course revision form to request that the course be cancelled. If there is an AIS Cat record for that course number that does not have a cancelled status and is not going to be cancelled, then you should choose a different course number (if you look for a different course number to use repeat step 1, looking for that course number in AIS Cat).

2.  Back to Cat Dev, on the highest effective year/term revision for the Cat Dev record, click on the 
End Year/Term field. A popup will appear. Select the year and term that the current revision will be effective until (this should be one term prior to the effective year/term of the new revision you wish to create). For example, if the current course is ART 130 and you want to renumber it to ART 133 effective Fall 2011, you would want to set the End Year Term for ART 130 to Summer 10-11 (which is one term prior to Fall 11-12). Click Continue.

3.  Click the New Rev of Current Course button. A popup will appear. The year and term are automatically selected. You may modify the year and term values. Click Continue. The new revision is created.

4.  Now that the new revision has been created you can modify the course number. Go to the Course Number field, on the Cat Dev header, modify the Course Number field to the course number you want to renumber it to. When you move off the field you will receive a dialog asking you to confirm that you want to change the course number. Click OK. 
Note: If the course is crosslisted, and you want to change the course number of the other course offering(s), click on the X-Listings tabbed area.  Click on the blue arrow next to the course offering you wish to modify. A popup will appear. Click in the Course # field and modify the course number. Click Continue. You will receive a dialog asking you to confirm that you want to change the course number. Click OK.

5.  Now that you have modified the Course Number, you can proceed with modifying the Course Revision form by clicking on the Course Request Forms button. Obtain the Department Chair’s signature and submit the form to the divisional curriculum analyst.


6.  From Cat Dev, click on the Prev Revs/Sched Devs tab.  Look to see if there are any existing Sched Dev records that are being offered on or after the effective year term of the Cat Dev revision for the renumbered course; if there are you will need to be modify these Sched Dev records to attach to that revision. For example, if you have a Sched Dev record for Fall 2011 that was already set to ART 130 and you want it to reflect the renumbered Cat Dev revision for ART 132, you will need to go to the Sched Dev record and select ART 132 that has an effective year term that is applicable for Fall 2011. Note: Before doing so take note of the section number on the existing Sched Dev record. You may need to modify it to the original section number after you select the course for the Sched Dev record.
