Searching for Course(s)

The following are Frequently Asked Questions (FAQs) about searching for catalog records from the Cat Dev or AIS Cat screens. If you do not see a topic covered, you can submit an idea for a FAQ.


Q: How to Perform a Search for one or more Catalog Records
A: Cat Dev contains catalog records that have been entered in the CCLP for the department and subject you are logged in with. By default only Active courses are in the found set. Active courses are courses with a status of New, Active, or Reactivated. To perform a search for one or more catalog records:

  1. Click the Find Course button (on the right side of the Cat Dev screen). The Find layout will appear.

  2. Type in criteria into the field or fields that will narrow the search results. Then press Return. For example, to search for the course with the number 101, type 101 into the Course Number field. This will return all courses that have a course number that begins with 101 (e.g. 101, 101A, 101B, etc.). To search for just the course number equal to 101, type =101. You can also narrow search to a status condition by clicking on one of the status radio buttons.

  3. To restore all of the Cat Dev records to the result set, click All Courses. To restore only the active courses (courses with a status of New, Active, or Reactivated) click the Active Courses button.


Q: In Cat Dev,when I search for course 107, both course 107 and 107L appear in my results. How do I just display course 107 in the result set?
A: When you perform a search, if you type the '=' sign before 107 in the course number field, the search will be look for an exact match equal to 107.


Q: In Cat Dev, when I search for course 4, no results are returned.
A:
In Cat Dev, course numbers with single digits need to be entered with two leading zeroes. For example, to perform a search for course number 4, enter 004. Course numbers with two digits need to be entered with one leading zero. For example, to perform a search for course number 10, enter 010.


Q: In Cat Dev, how can I search for those catalog records that have a Suspended status?
A:
To search for catalog records with a Suspended status:

  1. Click the Find Course button.
  2. Click the Suspended radio button (in the Status area), then press Return. The result set will be all Suspended catalog records.
  3. To view a listing of all Suspended catalog records you can then click the Current Found Set List button. This will generate a report of those catalog records in the result set. You can click the Printer icon and either print the report or save the report to a PDF file.

The result set will include those Cat Dev records with a Suspended status. Cat Dev is not the system of record; AIS is. It is likely that there may be catalog records in AIS Cat with a Suspended status that are not in Cat Dev so it is recommended that you also perform a search in AIS Cat to get a listing of those catalog records in AIS Cat that have a Suspended status.

To restore the result set to all Active Courses, click the Find Active Courses button.


Q: In AIS Cat, how can I search for those catalog records that have a Suspended status?
A:
To search for catalog records in AIS Cat with a Suspended status:

  1. In AIS Cat, click the Find Course button.
  2. Click in the Status field area, type Suspended, then press Return. The result set will be all Suspended catalog records in AIS Cat.
  3. To view a listing of all Suspended catalog records in AIS Cat, you can then click the Current Found Set List button. This will generate a report of those AIS Cat catalog records in the result set. You can click the Printer icon and either print the report or save the report to a PDF file.

The result set will include those AIS Cat records with a Suspended status. AIS Cat is the system of record. Please note that since only approved records are in AIS, it is possible that there are catalog records with a Suspended status that are in the course approval process that are not yet indicated as Suspended in AIS Cat. You may wish to also perform a search in Cat Dev to get a listing of those catalog records in Cat Dev that have a Suspended status.

To restore the result set to all Active Courses, click the Find Active Courses button.


Q: In Cat Dev, how can I search for those catalog records that have a Cancelled status?
A:
To search for catalog records with a Cancelled status:

  1. Click the Find Course button.
  2. Click the Cancelled radio button (in the Status area), then press Return. The result set will be all Cancelled catalog records.
  3. To view a listing of all Cancelled catalog records you can then click the Current Found Set List button. This will generate a report of those catalog records in the result set. You can click the Printer icon and either print the report or save the report to a PDF file.

The result set will include those Cat Dev records with a Cancelled status. Cat Dev is not the system of record; AIS is. It is likely that there may be catalog records in AIS Cat with a Cancelled status that are not in Cat Dev so it is recommended that you also perform a search in AIS Cat to get a listing of those catalog records in AIS Cat that have a Cancelled status.

Q: In AIS Cat, how can I search for those catalog records that have a Cancelled status?

To search for catalog records in AIS Cat with a Cancelled status:

  1. In AIS Cat, click the Find Course button.
  2. Click in the Status field area, type Cancelled, then press Return. The result set will be all Cancelled catalog records in AIS Cat.
  3. To view a listing of all Cancelled catalog records in AIS Cat, you can then click the Current Found Set List button. This will generate a report of those AIS Cat catalog records in the result set. You can click the Printer icon and either print the report or save the report to a PDF file.

The result set will include those Cat Dev records with an Active status (this includes Active, New, and Reactivated). Cat Dev is not the system of record; AIS is. It is likely that there may be catalog records in AIS Cat with an Active status that are not in Cat Dev so it is recommended that you also perform a search in AIS Cat to get a listing of those catalog records in AIS Cat that have an Active status (in AIS Cat the status condition that corresponds to Active is Schedule).


Q: In AIS Cat, how can I search for those catalog records that have an Active status (i.e. a status of Schedule)?
A:
To search for catalog records in AIS Cat with an Active status:

  1. In AIS Cat, click the Find Active button. In AIS Cat records with an Active status have a status condition of Schedule.
  2. To view a listing of all Active catalog records in AIS Cat, you can then click the Current Found Set List button. This will generate a report of those AIS Cat catalog records in the result set. You can click the Printer icon and either print the report or save the report to a PDF file.

The result set will include those AIS Cat records with an Active status (which in AIS Cat is a status of Schedule). AIS Cat is the system of record. Please note that since only approved records are in AIS, it is possible that there are catalog records with an Active status that are in the course approval process that are not yet indicated as Active (i.e. Schedule) in AIS Cat. You may wish to also perform a search in Cat Dev to get a listing of those catalog records in Cat Dev that have an Active status.
